Help Guide Custom Fields Account Settings › Customers › Custom Fields |
Overview
Custom Fields is the global library where administrators define organization-specific data fields that can be added to customer records and related objects in Valkre. Fields created here become available to assign to Customer Types via the Custom Fields tab in Customer Types configuration.
Think of Custom Fields as a two-step process: first you define a field here globally, then you activate it within a specific Customer Type so it appears on the relevant customer records.
How Custom Fields Flow Into the Platform
Account Settings Custom Fields | →Define fields globally | Customer Types Custom Fields tab | →Assign fields to a type | Customer Records Fields appear on profiles |
| NOTE | A custom field created here will not appear on any customer record until it has been assigned to a Customer Type. Navigate to Account Settings → Customers → Customer Types → [select a type] → Custom Fields tab to activate fields for a specific type. |

Left Sidebar — Field Types
The left sidebar under Custom Fields lists the seven data types available for custom fields. Selecting a type filters the field list on the right to show only fields of that type.
| Field Type | Description | Example Use Cases |
|---|---|---|
| Text | A free-form text entry field. Accepts any combination of letters, numbers, and characters. Best for open-ended descriptive content. | Customer Description, Competitive Trends, Industry Trends, Marketo Campaign |
| Multi Select | A dropdown field that allows users to choose one or more values from a predefined list. | Customer Segment, Key Therapy Areas, Supported Products |
| Date | A date picker field. Users select a date from a calendar control. | Contract Renewal Date, Last Review Date, Key Milestone Date |
| Checkbox | A true/false toggle. Displays as a checkbox that users check or uncheck. | Key Account Flag, Approved for Co-Promotion, Active Clinical Trial |
| Currency | A numeric field formatted as a currency value (e.g., $1,250,000). Accepts numbers and formats them with currency symbols. | Annual Contract Value, Budgeted Spend, Revenue Potential |
| Percentage | A numeric field formatted as a percentage (e.g., 45%). Used for ratio or share-based data. | Share of Wallet, Market Share, Budget Allocation % |
| Numeric | A plain numeric field with no special formatting. Accepts whole or decimal numbers. | Number of Sites, Employee Count, Product SKU Count |
| TIP | Choose the field type that matches how the data will be entered and displayed. For example, use Currency rather than Text for financial values — it ensures consistent formatting and enables numeric sorting and filtering. |
Entity Tabs — Selecting the Object Type
Across the top of the Custom Fields screen, a row of tabs lets you select which Valkre object the fields apply to. Each tab has its own independent list of custom fields. (*These vary based on your Organization’s Custom Language*)
| Entity Tab | What It Controls |
|---|---|
| Customers | Custom fields that appear on the main customer profile and account record. |
| Account’s Need | Custom fields for capturing and describing identified customer needs. |
| Barrier | Custom fields for logging barriers or obstacles within an account. |
| Mutual Objectives | Custom fields attached to mutual objective records shared between your team and the customer. |
| Initiatives | Custom fields added to strategic initiative records within a customer plan. |
| Stakeholders | Custom fields for stakeholder/contact records associated with a customer. |
| Customer Organization | Custom fields for nodes within the customer’s organizational chart. |
| Interactions | Custom fields for logging and categorizing customer interaction records. |
| Contracts | Custom fields added to contract records associated with the customer. |
| Product Lines | Custom fields for product line records linked to a customer. |
| Users | Custom fields associated with user records (e.g., internal team members). |
| NOTE | Each entity tab has its own set of fields per type. A Text field created under Customers is separate from a Text field created under Stakeholders — they are independent lists, even if they share the same name. |
Field Columns
| Column | Description |
|---|---|
| Name | The label for the custom field as it will appear on the customer record and in the Customer Types configuration. Keep names clear and concise. |
| Tooltip | Optional helper text shown when a user hovers over the field name in the platform. Use tooltips to provide guidance on what to enter (e.g., “Fed From API” signals the field is auto-populated; “Who they are?” prompts for a company description). |
| TIP | Tooltips are one of the most effective ways to drive data quality. A brief, well-written tooltip reduces ambiguity and helps users enter consistent, useful information without needing to ask for clarification. |
Adding a New Custom Field
Use the + Add button to create a new custom field. Follow the steps below to add a field to the correct entity and type.
| 1 | Select the Correct Field Type
|
| 2 | Select the Correct Entity Tab
|
| 3 | Click + Add
|
| 4 | Enter the Field Name
|
| 5 | Enter a Tooltip (Optional but Recommended)
|
| 6 | Save
|
| NOTE | Creating a field here does not automatically make it visible on any customer record. You must also assign it to the relevant Customer Type in the Customer Types configuration for it to appear. |
Editing an Existing Custom Field
Custom field names and tooltips can be edited at any time directly in the field list.
| 1 | Navigate to the Field
|
| 2 | Click to Edit
|
| 3 | Save
|
| WARNING | Renaming a custom field changes its label everywhere it is used — in Customer Types configuration and on all customer records. Notify your team before renaming a field that is in active use to avoid confusion. |
| TIP | Mark fields “Fed From API” as the tool tip if they are from an integration. These types are typically set to Read Only in Customer Types to prevent users from manually overwriting system-populated values. |
Connecting Custom Fields to Customer Types
Once a field is created in the Custom Fields library, it must be assigned to one or more Customer Types before it will appear on customer records. This is done in a separate configuration screen.
| 1 | Go to Customer Types
|
| 2 | Open the Custom Fields Tab
|
| 3 | Activate the Field
|
| 4 | Save
|
| NOTE | Each Customer Type has its own Custom Fields assignment. Adding a field to one Customer Type does not automatically add it to others. Repeat the process for each type where the field should appear. |

Frequently Asked Questions
I created a field here but it isn’t showing up on customer records. Why?
Creating a field in the Custom Fields library only adds it to the global pool of available fields. To make it appear on customer records, you must also assign it to the relevant Customer Type. Go to Account Settings → Customers → Customer Types → [your type] → Custom Fields tab, and drag the field from Unused to Used.
Can I change a field’s type after creating it?
No. Once a custom field is created with a specific type (e.g., Text), the type cannot be changed. If you need a different type, create a new field with the correct type and remove the old one from any Customer Types where it was assigned.
Can the same custom field be used across multiple Customer Types?
Yes. A field created in the global library can be assigned to as many Customer Types as needed. Each Customer Type independently controls whether the field is active and whether it is read-only or editable.
What happens to data if I delete a custom field?
Deleting a custom field removes it from the library and from all Customer Types it was assigned to. Any data that was entered in that field on existing customer records may be lost. Always confirm with your team before deleting a field that has been in active use.
What is the difference between a Custom Field and a Standard Field?
Standard fields (managed in the Fields tab of Customer Types) are built into the Valkre platform and cover common data points like Region, Industry, Owner, and Created Date. Custom Fields are organization-defined additions created here to capture data specific to your business that the standard fields do not cover.
Can I reorder custom fields?
The order of fields in the Customer Types custom fields assignment is controlled within the Customer Types editor, not here. In the Customer Types → Custom Fields tab, you can drag fields into the order you want them to appear on customer records.
