Overview
The Customer Profile Template allows administrators to define a standardized structure for customer information across your organization. By configuring metrics, short text fields, and rich text fields, you ensure consistent data collection and presentation for every customer record.
This guide walks you through understanding, creating, and managing a Customer Profile Template — using the Healthcare template as an example.
Getting There
To access the Customer Profile Template screen:
- Log in to your Valkre account.
- Navigate to Account Settings using the dropdown menu under your name
- Click the Customers tab at the top.
- In the left sidebar, select Profile Templates.
- Select an existing template (e.g., Healthcare) or click New to create a fresh template.
Page Layout
The Customer Profile Template editor is divided into five main areas:

| Name | The title of this profile template (e.g., Healthcare). This name will appear in customer records assigned to this template. |
| Make Inactive checkbox | Toggle to deactivate a template without deleting it. Inactive templates won’t be available for new customer records. |
| Metrics | Define numeric or percentage-based data points tracked for customers (e.g., Revenue, NPS, Employees). |
| Short Text Fields | Single-line fields for brief, categorical information (e.g., Specialty, Sponsor, Charities). |
| Rich Text Fields | Multi-line fields for detailed, free-form text entries (e.g., Company Description, Key Things To Know). |
Section 1: Metrics
Metrics capture quantitative data about your customers. Each metric row contains:

| Order | The display order of this metric in the customer profile (1 appears first). |
| Metric | The name of the metric (e.g., Revenue, Employees, NPS, Share of Wallet, Operating Margin). |
| Format | How the value is displayed. Options include: # = plain number $ = currency % = percentage |
| Tooltip | Optional explanatory text shown when users hover over the metric name in the customer profile. |
Example metrics from the Healthcare template:
| TIP | You can leave rows blank to reserve space for future metrics without disrupting the numbering order of existing ones. |
Section 2: Short Text Fields
Short Text Fields are single-line inputs designed to capture concise, categorical information about a customer. These appear as labeled fields within the customer profile.

| Field | The label or name of the short text field (e.g., Specialty, Sponsor, Charities, Grants / Programs). |
| Tooltip | Optional hover text that provides guidance on what to enter in this field. |

| NOTE | Short Text Fields are ideal for structured data that users will reference quickly, like account type, region, or key contact names. For longer explanations, use Rich Text Fields instead. |
Section 3: Rich Text Fields
Rich Text Fields allow users to enter formatted, long-form content about a customer. These are best suited for narrative or descriptive information that benefits from more space.

| TIP | Rich Text Fields support formatting such as bold, bullet lists, and hyperlinks, making them ideal for briefing documents, strategic summaries, and background information. |
Saving and Managing Templates
Action Buttons
The top-right corner of the template editor contains three action buttons:

|---|---|---|
| Delete | Red | Permanently removes the template. Use with caution — this cannot be undone. |
| Back | Blue | Returns to the Profile Templates list without saving any changes. |
| Save | Green | Saves all changes made to the current template. |
| NOTE | Always click Save before navigating away from the template editor to avoid losing your changes. |
Making a Template Inactive
If you want to retire a template without deleting it:
- Check the Make Inactive checkbox at the top-right of the template form.
- Click Save.
The template will no longer appear as an option for new customer records, but existing records that used the template will be unaffected.
Best Practices
- Plan your fields before creating a template. Discuss with your team what data points are most valuable for the customer segment.
- Use Tooltips to guide users. Clear tooltip text reduces data entry errors and ensures consistent information across your team.
- Keep Metric names concise. Short, recognizable names like “NPS” or “Revenue” are easier to scan in customer dashboards.
- Order fields by importance. Place the most frequently referenced metrics and fields at the top (order 1, 2, 3) for easy access.
- Use Rich Text Fields sparingly. Too many long-form fields can make profiles feel overwhelming. Aim for 4–6 well-labeled fields.
- Review templates periodically. As your business evolves, update templates to reflect new data needs or retire outdated fields.
Frequently Asked Questions
How many metrics can I add?
The template supports up to 7 metrics. If you need additional metrics, consider grouping related values or using Rich Text Fields to capture supplementary data.
Can I reorder fields after saving?
Yes. Simply drag and drop the affected fields and click Save. The new order will be reflected immediately in customer profiles.
What happens if I delete a template?
Deleting a template is permanent and cannot be undone. If you are unsure, use Make Inactive instead.
What is the difference between Short Text and Rich Text fields?
Short Text Fields are single-line inputs best suited for brief, structured data (names, categories, identifiers). Rich Text Fields support multi-line formatted content and are designed for narrative descriptions, strategic context, or detailed notes.
